What is the schedule block or why do I use it

The Schedule Block is your central hub for planning and organizing event activities. From managing load-in times to show schedules, the Schedule Block ensures your team knows what’s happening and when. Whether you’re working with a single schedule or coordinating multiple roles, this feature keeps everything streamlined.

Accessing the Schedule Section

To add or view the Schedule Block:

  1. On the Event Details page, click the "+" button or the "Add to Event" link in the left-hand column.

  2. Select "Schedule" from the list to create a new schedule.

  3. Once added, the Schedule will appear on the Event Details page for easy access.

General Schedule Entries

Schedule entries are the building stones of your schedule, defining what’s happening and when. Here’s how they work:

  • General Entries: These entries are visible to everyone with access to the schedule. When you leave the "Only for member(s)" field blank while adding an entry, it becomes a general entry.

  • Examples: Use general entries for information relevant to the entire team, such as dinner times, doors opening, or show times.

Personal Schedule Entries

Personalizing schedule entries allows you to tailor the schedule to specific team members:

  1. When adding a schedule entry, use the "Only for member(s)" dropdown to select who the entry applies to.

  2. If left blank, the entry is visible to everyone. If specific members are selected, only they will see the entry in their schedule if permissions are set accordingly.

Example: Assign load-in and setup tasks to crew members, while reserving hotel transfers and promo slots for artists. Use general entries for shared activities like dinner or show times.

Permissions and Visibility

Permissions control what members can see in the Schedule. The two key permissions are:

  • View personal schedule: Allows members to see general entries and entries assigned to them.

  • View other schedule: Allows members to see entries assigned to other people.

By carefully assigning permissions and using the "Only for member(s)" dropdown, you can provide a tailored schedule view for each team member while ensuring privacy and clarity.

Editing title and Deleting Schedule

To edit or delete a schedule:

  1. Click the three dots (•••) next to the schedule title on the Event Details page.

  2. Edit Title: Select this option to rename the schedule. A popup will appear where you can change the title and save your changes.

  3. Delete: Select this option to permanently remove the schedule. Confirm your choice in the popup.

Note: Deleting a schedule is permanent and cannot be undone. All associated entries will also be removed.

  • Centralizing Information: Keep all event activities in one place, accessible to the whole team.

  • Reducing Clutter: Use personal schedule entries and permissions to ensure members only see what’s relevant to them.

  • Improving Communication: Provide clear, structured schedules that minimize misunderstandings and ensure everyone stays on track.
