Guestlist Overview

guestlist general explanation, what is a guestlist.

Updated over a month ago

The Guestlist is designed to reduce the stress and confusion that often comes with managing guest access at events. Whether you're a tour manager, artist, or crew member, this feature gives you full control over how guests are added, reviewed, and approved.

What You Can Do with the Guestlist

  • Open or Restrict Access: Decide whether any user with permissions can add guests, or restrict it so only selected roles can approve or deny entries.

  • Define Guest Types: Create different guest types (e.g., VIP, All Areas, Label) to keep the list organized.

  • Set Ticket Limits: Control the number of tickets available per event, guest type, or per user. Define a max number of guests that can be submitted at once.

  • Require Approval or Auto-Accept: Configure whether guest additions need approval or are automatically accepted.

  • Track Who Added Each Guest: Easily view the connection between each guest and the person who added them.

  • Instant Notifications: Automatically notify (email) the requester if their guest is denied—no follow-up action required.

  • Export with Ease: Once your list is final, you can email it, print it, or export it to PDF—formatted and ready to go for box office or door use.

Permissions Control

Use role-based permissions to:

  • Allow or restrict who can add guests

  • Set to see all guest or just their own

  • Define who can approve or reject entries

  • Lock the list to prevent changes after a certain deadline
