Adding Travel Legs (Personalised Planning)

Plan your travel with precision by adding transport legs just for specific persons. This guide walks you through how to add personal travel legs, assign passengers, and manage details like tickets and references.

Overview

This feature allows you to create travel legs that are private to people (if permissions allow), and assign specific people to each leg. Ideal for planning flights, bus rides, train trips, or other transport on a per-person basis.

Step-by-Step: Add a Personal Travel Leg

  1. Open the Travel section of your event.

  2. Click the three dots (left pane or right from title) and select edit.

  3. Choose a Type from the available options as described in "Adding travels (general use)":

    • Flight

    • Bus

    • Train

    • Other

  4. Fill in the leg details (* are mandatory), such as:

    • Departure and arrival location

    • Date and time

    • Additional notes or reference

  5. Click Save. The leg will now appear in your list.

Add Passengers to a Travel Leg

  1. Click + Add Passenger below your travel leg.

  2. Start typing the name or select from the dropdown list.

  3. Choose which leg(s) they should be assigned to (mandatory) by clicking +Add booking reference/ticket.

  4. Optionally, add:

    • Booking reference

    • Ticket attachment (Select or drop file)

  5. Click Add Passenger to save. You'll see their name listed below with their travel details.

You can add a passenger to multiple legs by keep adding booking reference/ticket.

Edit or Add New Legs for Existing Passengers

If new travel arrangements come up:

  • Click the Action button (three dots) next to the passenger's name.

  • Choose Edit.

  • Add new travel legs and optionally attach updated references or tickets.

  • Save your changes. No need to delete and re-add anyone.

Privacy and Permissions

Passengers and travel leg details may be private depending on your settings. Only users with the correct permissions can:

  • View private travel legs

  • See other passengers

  • Edit or remove entries
