Schedules are essential for organizing your event’s activities, ensuring everyone knows what’s happening and when. Most events will only need one schedule, but adding additional schedules can help manage complex events, such as grouping promotional activities or handling multiple shows on the same day.
Step 1: Add a Schedule Block
To start adding a schedule:
- On the Event Details page, click the "+" button or the "Add to Event" link in the left-hand column.
- Select "Schedule" from the list.
- A form titled "Editing Schedule" will open, where you can begin creating your schedule.
Step 2: Manually Add Entries or Import from Another Event
In the "Editing Schedule" form, you have two options for creating your schedule: You can manually add entries to the schedule or import a schedule from a previous event.
Option 1: Manually Add Entries to Your Schedule
If you’re building a schedule from scratch:
- Scroll to the Add Entry section of the Editing Schedule form.
- Fill out the mandatory fields for the entry:
- Title: Describe what’s happening (e.g., “Soundcheck”).
- Start Date & Time: Specify when the activity begins.
- End Date & Time: Specify when the activity ends.
- Time Zone: Ensure it matches the event’s location.
- Optionally:
- Use the Only for Members dropdown to make the entry visible to specific people. Leave blank if it applies to everyone.
- Add a Description to include additional details (e.g., “Bring your own gear for this soundcheck”).
- Click "Add Entry" to save the entry.
Tip: After adding an entry, the form resets so you can quickly add more. Your existing entries will appear below, ordered chronologically.
Option 2: Import Schedule Entries from Another Event
If your event shares a similar schedule with a previous event:
- Click "Import Schedule from Another Event" at the top of the Editing Schedule form.
- The band’s calendar will open, displaying all events with at least one schedule.
- Select the source event that contains the schedule you’d like to import.
- Review the confirmation message:
You are about to import the schedule from "Source Event Title (source event date)" to "Destination Event Title (destination event date)." This action will replace all information currently entered in the schedule block for "Destination Event Title." The dates and times of the schedule entries will be adjusted to match the date and time zone of your current event.
- If you’re sure, click "Confirm" to proceed.
- The imported schedule will now appear in your event, adjusted to match the current event’s date and time zone.
Editing the Title of a Schedule Block
If you need to rename a schedule block:
- On the Event Details page, locate the schedule block you want to rename.
- Click the three dots (•••) next to the schedule title and select "Edit Title".
- A popup titled "Edit Title for Schedule" will appear. Update the schedule title as needed.
- Click "Save" to confirm the changes.
Note: Multiple schedule blocks are sorted alphabetically by their titles on the Event Details page. Renaming a block can affect its order.
Step 3: Finish Editing the Schedule
Once you’ve added or imported your schedule entries:
- Review the schedule displayed below the Add Entry form.
- Click "Finish Editing" to save and exit.
Your schedule is now ready and visible on the Event Details page. If you need to edit it later, you can always return to the Schedule block.
