While most events only require a single schedule, there are times when managing multiple schedules can help streamline your planning and communication. Whether you're separating promotional activities from show-related tasks or coordinating multiple performances on the same day, multiple schedules ensure everything stays organized and accessible.
When to Add Multiple Schedules
Here are some scenarios where adding multiple schedules can be useful:
- Grouping Activities: Keep promotional activities (e.g., interviews, meet-and-greets) separate from the main event schedule.
- Managing Multiple Performances: Create individual schedules for matinee and evening shows, ensuring clarity for all team members.
- Specialized Tasks: Use separate schedules for production tasks, catering, or other distinct areas of responsibility.
Tip: Use clear and descriptive titles for each schedule to make it easy for your team to identify the right one at a glance. Schedules will be sorted alphabetically by title.
Adding Another Schedule
To add another schedule block, follow the same steps as adding the first schedule:
- On the Event Details page, click the "+" button or the "Add to Event" link in the left-hand column.
- Select "Schedule" from the list.
- A new Editing Schedule form will open, allowing you to configure the additional schedule.
- Give the schedule a descriptive title to differentiate it from other schedules (e.g., “Promo Activities” or “Evening Show Schedule”).
- Add entries or import a schedule from another event, just like with your primary schedule.
Editing the Title of a Schedule Block
If you need to rename a schedule block:
- On the Event Details page, locate the schedule block you want to rename.
- Click the three dots (•••) next to the schedule title and select "Edit Title".
- A popup titled "Edit Title for Schedule" will appear. Update the schedule title as needed.
- Click "Save" to confirm the changes.
Note: Multiple schedule blocks will automatically be sorted alphabetically by their titles on the Event Details page.
Tips for Managing Multiple Schedules
Keep your schedules organized with these tips:
- Use Clear Titles: Titles like “Main Schedule” or “Promo Activities” help team members quickly identify the relevant schedule.
- Double-Check Permissions: Ensure visibility settings for schedule entries align with team roles and responsibilities.
Editing or Deleting a Schedule
If you need to edit or delete a schedule:
- On the Event Details page, locate the schedule you want to manage.
- Click the three dots (•••) next to the schedule title.
- Select "Edit" to update the schedule entries or import a new schedule.
- To delete the schedule, select "Delete" from the dropdown and confirm your action.
Note: Deleting a schedule will remove all associated entries. Ensure the schedule is no longer needed before proceeding.
