Personalizing schedule entries allows you to tailor the event schedule to specific members of your team. This feature ensures everyone sees only the information they need, making schedules easier to read and more effective for communication.
Assigning Personal Schedule Entries
When adding a schedule entry, you can assign it to specific members:
- In the "Only for member(s)" dropdown, select the members this entry applies to.
- If left blank, the entry will be visible to everyone.
- If members are selected, only they will see this entry in their schedule.
Note: General entries (not assigned to specific members) are visible to all team members with access to the schedule.
Viewing Personal Schedules
If you have full permissions to view the entire schedule, you can filter the schedule to focus on personal entries:
- On the Event Details page, locate the Filter button at the top of the schedule.
- Select "Full Schedule" to view all entries, including those for other members.
- Select "My Schedule" to hide entries for other members. You will only see:
- Entries assigned to you.
- General entries visible to everyone.
Using Permissions for Personal Schedules
Permissions allow you to control how schedules are viewed on a member level. The available permissions for viewing schedule blocks are:
- View personal schedule: Allows members to see entries assigned to them and general entries.
- View other schedule: Allows members to see entries assigned to other people.
By giving only the "View personal schedule" permission to all members, you can create a tailored schedule experience:
- For Crew: Assign entries like load-in, setup times, and soundcheck to crew members, ensuring they only see the tasks relevant to them.
- For Artists: Assign entries like hotel transfers and promo slots to the artist and tour manager. This keeps them focused on their specific activities.
- General Entries: Entries like dinner, doors, and show times can remain visible to everyone by leaving the "Only for member(s)" field blank.
Tip: Use permissions to give members clarity and avoid unnecessary clutter, while ensuring everyone has the information they need.
