RSVP requests help you confirm who will be attending an event. By sending an RSVP request, you can gather availability responses from your team, ensuring everyone is on the same page. This article explains how to send and manage RSVP requests using the People Block.
Sending RSVP Requests
To send RSVP requests:
- Open the "Adding Members to People" form by clicking the "Edit" option in the People Block.
- In the "Add Member(s)" section, type the name of the member or select a member from the dropdown.
- Set the status to "Send RSVP" in the status dropdown.
- Click "Add Members". RSVP emails will be sent to all members with this status.
Tip: You can send RSVP requests to multiple members at once by selecting a member category.
What Happens When You Send an RSVP?
When you send an RSVP request, the following occurs:
- The selected member receives an email with RSVP options: Yes, Maybe, or No.
- The member’s status in the People Block is updated to "Pending RSVP."
- When the member responds to the RSVP request:
- Their status in the People Block is updated to "Attending," "Maybe Attending," or "Not Attending."
- The person who sent the RSVP request receives an email with the member’s response.
Managing Pending RSVPs
You can manage RSVP requests for members with a "Pending RSVP" status in the People Block. To do so:
- Locate the member in the Added Members section of the People Block.
- Click the "Actions" button next to their name and select "Edit Status."
- Choose one of the following actions:
- Resend RSVP: Sends a new RSVP request email to the member.
- Cancel RSVP and Set to Attending: Manually update their status to "Attending."
- Cancel RSVP and Set to Maybe Attending: Manually update their status to "Maybe Attending."
- Cancel RSVP and Set to Not Attending: Manually update their status to "Not Attending."
Important: When a status is manually updated, the member’s ability to respond to the RSVP request is revoked.
Tracking RSVP Responses
You’ll receive an email notification whenever a member responds to an RSVP request.
The member’s status in the People Block is updated automatically based on their response:
- Yes: Status changes to "Attending."
- Maybe: Status changes to "Maybe Attending."
- No: Status changes to "Not Attending."
You can also view a log of status changes for a member by clicking "Actions" "More Info."
Key Notes
- RSVP requests ensure that you always have up-to-date availability for your team.
- Pending RSVPs can be resent or canceled at any time.
- Manually changing a status overrides the RSVP process and prevents further responses.
- Emails notifying the RSVP sender of responses provide real-time updates for better planning.
Tip: Send RSVP requests early to ensure timely responses and allow for efficient planning.
