The Guestlist Block allows you to manage event guest tickets and passes efficiently. Whether it’s a simple guestlist or a more complex setup with approvals, the Guestlist Block ensures everything is organized. Here’s how to add and configure one for your event.
Adding a Guestlist Block
To add a Guestlist Block:
- On the Event Details page, click the "Add to Event" button or the "+" icon in the left-hand column.
- Select "Guestlist" from the dropdown menu. This opens the "Adding New Guestlist" form.
Configuring the Guestlist Block
Once you’ve opened the "Adding New Guestlist" form, it’s time to configure your guestlist.
1. Set the Title
By default, the title is set to "Guestlist." You can update this title to reflect the specific purpose of the guestlist (e.g., "Show 1 Guests").
Once the guestlist is created, you can edit its title later using the "Edit Title" option.
2. Choose the Type of Guestlist
Select the type of guestlist based on how you want to manage guest access:
- Public: Anyone with "Add Guests" permissions for this event can add guests directly, with no approval needed. Places are assigned on a first come first served basis.
- Approval Needed: Members with "Add Guests" permissions can request to add guests, but these requests must be approved by someone with "Manage Guests" permissions.
- Closed: Only members with "Manage Guestlist" permissions can add guests to the list.
3. Define Maximum Guests Per Name
Set the maximum number of guests allowed per guest name. The default is 1, meaning each guest must be added individually. If you want to allow group entries (e.g., "Guest Name +3"), set a higher number here. For example:
- To accommodate "Guest Name +3," set the maximum number of guests to 4.
- Later, when adding the guest, specify the number of guests (e.g., 4).
4. Add Tickets or Passes
Configure the types of tickets or passes available for this guestlist. For each type:
- Select the type of ticket or pass from the dropdown menu (these are managed in the event settings).
- Set the maximum number of guests allowed for this type, or tick the "Unlimited" checkbox if there is no limit.
- Click "Add" to add the ticket/pass type to the list.
You can add multiple ticket or pass types to the same guestlist block as needed.
5. (Optional) Import Guestlist Settings
If you want to speed up the setup process, you can import guestlist settings from another event. To do this, click the "Import Guestlist Settings from Another Event" button at the top of the form.
This feature allows you to select the guestlist configuration from another event and reuse:
- Guestlist title
- Type of guestlist
- Maximum guests per name
- Configured tickets and passes
Note: Only the configuration is imported; actual guests from the source event are not.
Finalizing the Guestlist Block
Once all settings are configured, click "Create Guestlist." The Guestlist Block will be added to the event, and its title will appear in the event details.
Important Notes
- Multiple Guestlist Blocks can be added to the same event, making it easy to manage guests for events with multiple days or shows.
- Once guests are added to the block, it cannot be removed. Similarly, you cannot reduce the number of available tickets/passes below the number already reserved.
- The configuration can be edited later, but changes are subject to the current guestlist usage.
Tip: Use meaningful titles for your guestlist blocks (e.g., "Day 1 Guests") to keep your event details organized.
