Adding a General Accommodation to an Event

How to add your general accommodation information

The Accommodation section lets you organize lodging arrangements for your events. Whether you're booking one hotel for the entire crew or adding general stay details, this guide walks you through setting up a General Accommodation — ideal when no specific rooms or individuals need to be assigned.

Steps to Add a General Accommodation Block

1. Open the Calendar View

  • Navigate to the Calendar and locate the event where accommodation is needed.

2. Open the Event Sidebar

  • Click the event to open its detailed page and bring up its sidebar.

  • On the left-hand side, click Add to Event or tap the plus (+) icon.

3. Choose the Accommodation block

  • From the list of block options, select Accommodation.

  • A panel titled Editing Accommodation will open.

4. Fill Out the Required Fields

As soon as you start typing the name of your lodge, we’ll begin an online search.

The more accurately you enter the name, the easier it will be for us to find your stay.

You can also scroll through the list that appears to select the correct lodging.

Following fields are mandatory and still adjustable after selecting the search selection:

  • Name: e.g., "Hotel Vienna"

  • Address Line 1

  • City

  • Postal Code

  • Country

  • Refine the location using the map tool.

Don't forget to hit the "Refine address on map" button if you made manual changes

5. Enter Additional Details

You can further specify:

  • Type: Hotel, Apartment, etc.

  • Booking ID (optional)

  • Check-in Date and Check-out Date (required)

  • Check-in Time and Check-out Time (optional)

  • Amenities (optional): WiFi, Sauna, Gym, and more

6. Save the Accommodation

  • When you're finished, click Save Accommodation at the bottom of the panel.

  • You can continue editing the block after saving but don't forget to push save again after.

Visibility Settings

If you leave the Rooms and People sections blank, the information will be visible to anyone with appropriate permissions. This is useful for general information that doesn't require individual assignments.

Optional: Import from Another Event

Already used a similar setup or accommodation? You can import Accommodation settings from a different event. Just note—this will overwrite any details already entered in the current block.
