Easily manage your own and others lodging arrangements by creating detailed accommodation blocks, adding rooms, and assigning people manually. This guide walks you through the full process.
Step 1: Create an Accommodation Block
Go to your event's Accommodation section.
Click + Add Accommodation.
Fill in the accommodation details (e.g., hotel name, address, check-in/out dates). Fields marked with an asterisk (*) are mandatory.
Click Save Accommodation.
Step 2: Add Rooms
This has to be done before you can assign people to a room.
Once the accommodation is saved, click + Add Room.
In the popup window, select the Room Type (e.g., Single, Double, Studio).
Enter the Number of Rooms.
Specify how many people will be hosted in each room (this can vary per room).
Click Add Room.
You can add as many as you want.
Create your own room list by typing the description and push create. The system will remember this for your future list.
Tip: You don't need to assign people straight away. Anyone with the correct permissions will be able to see the room setup.
Step 3: Assign People to Rooms
Can only be done after the rooms are added.
Click + Add People.
Use the dropdown to select individuals or categories.
If you have more people than beds, room types won't be selectable at this point. You can assign rooms manually afterward.
If there are more rooms inside the same type, than people, the system will assign the room number automatically. You can edit these later as needed.
Step 4: Manual Assignment (Optional)
To assign someone to a room individually:
Select the person from the dropdown (scroll or start typing the name).
Choose a Room Type.
Assign a specific room from the dropdown menu.
Edit or Adjust Assignments after
Click the Actions button next to any room or person.
Choose to edit, remove, or reassign as needed.
Optional: Control Visibility with Permissions
If you want to manage who can view or edit accommodation info, adjust the permissions accordingly.
